Getting Started with InstantOwl

What is InstantOwl?
InstantOwl turns raw, rambling voice notes into clear, organized, actionable documents. You talk the way you think, and InstantOwl gives you back exactly what you need: a summary, an email draft, action items, meeting notes, or whatever format fits. It also pulls out tasks, keeps everything searchable, and lets you ask questions across everything you have said.
InstantOwl is in open beta and currently free to use.
How do I sign in?
InstantOwl uses a hosted sign-in screen. Create an account with an email or a linked third-party account such as Google, then you land on your dashboard automatically. See Account basics for more on how sign-in and sign-out work.
What does the dashboard look like?
Your dashboard at /dashboard is the record screen and the home base for InstantOwl. From top to bottom:
- A How it works button that opens a short walkthrough (it shows itself automatically the first time you visit).
- The heading Ready to record with the subtext Tap the button to capture your thoughts.
- A row of starter prompts under Try answering this out loud, in case you are not sure what to say.
- A Project picker so you can file the recording before you even start talking.
- The record button itself.
- An Other ways to add toggle for uploading a file or importing a YouTube link.
How do I make my first recording?
- Tap the amber circular mic button. The caption reads Tap to record.
- Talk. You will see a live timer and a caption that reads Tap to pause or stop.
- Tap the stop button when you are done.
- On the review screen, optionally fill in Instructions for AI if you want to steer the output (for example, "Turn this into a blog post"). This field is optional.
- Tap Submit.
That is the whole flow. No typing required unless you want to add instructions. For pausing, resuming, and what happens if you lose connection mid-recording, see Recording.
You can also upload a file or import a YouTube video from the same Other ways to add menu.
What happens after I submit?
InstantOwl uploads your recording and shows a progress bar with two stages: Transcribing your audio… and then Generating your output…. A note under the bar reminds you: This runs in the background. You can leave this page and come back. The recording's title starts as Naming your recording… until the AI finishes generating one.
When it finishes, you land on the recording's detail page. If your browser allows notifications, you will also get a quiet alert that your recording is ready.
Where does my output land?
Each finished recording produces:
- A transcript of what you said
- An AI-generated title
- One output document, in the format InstantOwl detects fits best (or the format you asked for)
- A handful of tags
- Any action items found in what you said
All of this lives on the recording's detail page, under the AI Output section. From there you can copy it, edit it, reshape it into a different format, or share it. See Formats for the full list of document types InstantOwl can produce, and Tasks for how action items work.
What if I want a different format?
Every recording can become more than one document. On the detail page, look for Turn this into, with the subtext Every version is saved. Tap a format chip (Summary, Email Draft, Meeting Notes, and more) to regenerate as that format. Nothing is overwritten: older versions collapse under Show previous versions.
