Export and Sharing: Getting Your InstantOwl Content Out

How do I share or download something I recorded?

Every output and every transcript in InstantOwl has its own Share menu. Open a recording's detail page, find the AI Output section (or the Raw Transcript section), and tap Share to see your options:

1. Copy as plain text
2. Copy as Markdown
3. Download PDF
4. Download Word (.docx)
5. Download text (.txt)
6. Download Markdown (.md)

On devices that support it, you will also see a native Share… option to send the content directly to another app. PDF and Word downloads are generated on InstantOwl's servers from the underlying document, so formatting like headings and lists carries over cleanly.

Because every regenerated version of a recording is saved, you can share any past version this same way, not just the newest one.

How do I send an email draft?

If a recording's output is an Email Draft, you will see a Send email button right on the output card. Tapping it opens your device's email app with the draft pre-filled, ready to review and send from your own address.

How do I get a task onto my calendar?

Tasks with a due date can be exported individually. On a task with a due date set, tap the Calendar button to download an .ics file. Open that file (or import it) in Google Calendar, Apple Calendar, Outlook, or any calendar app that supports the standard .ics format. There is no live two-way calendar sync today: each export is a one-time file you generate and import yourself. See Tasks for how due dates get set in the first place.

Can I export everything in my account at once?

Not from inside the app right now. There is no account-wide "export all my data" button in InstantOwl today. Exports happen per output, per transcript, or per task, using the Share and Calendar options above.

If you want a complete copy of everything InstantOwl has for your account, email [email protected]. This is a real request InstantOwl's privacy policy commits to honoring as a right to data portability, and it will be handled directly rather than through an in-app button.

What happens when I delete something?

Deleting a recording is permanent (see Recordings library for the full flow and the exact confirmation text). Once you confirm a delete, InstantOwl's privacy policy describes the retention timeline that follows:

• Data is removed from active systems within 30 days.
• Backups that may still contain the data are cleared within up to 90 days.
• Aggregated, anonymized data (which cannot be tied back to you) may be kept indefinitely.

Archiving is different from deleting: it is fully reversible and does not start this retention clock at all. If you only want something out of your everyday view, archive it instead of deleting it. See Recordings library for the difference.

Where do I go for other data or privacy questions?

For anything not covered by the in-app Share and Calendar exports (a full account export, a specific privacy question, or a data deletion request), email [email protected]. For general account questions, [email protected] is the right address.
