Formats: turn one recording into any document

Updated

What formats can a recording become?

Every recording produces one AI output document automatically, and from there you can reshape it into any other format with a tap. The built-in formats are:

Summary, Action Items, Email Draft, Brainstorm, Meeting Notes, Journal, Product Spec, Decision Log, Status Update, Outline, Pros & Cons, and Feedback.

(The Journal format here just means a reflective, journal-style write-up of what you said. It's a document style, not a separate journaling mode.)

This is the mechanic behind "one ramble, five different documents": record once, then pull whatever shape you actually need out of the same recording. Talk through a rough idea once, then turn it into an Email Draft for a colleague and a Product Spec for yourself, without recording it twice.

How do I turn a recording into a different format?

On the recording page, under AI Output, there's a Turn this into section (subtext: "Every version is saved"). Here's how to use it.

  1. Tap a chip for a one-tap regenerate. Your saved custom outputs show first (in amber), followed by every built-in type except whichever one you're already viewing.
  2. For more control, tap More options. This opens a panel where you can:
    • Give the new version a name under Name this version (optional).
    • Tell it what to change under What would you like changed? (optional).
    • Pick the Output type from a dropdown grouped into Your Custom Outputs, Built-in, and a one-off custom type you type in on the spot.
    • Tap Regenerate to run it.
  3. If you leave the type untouched, it defaults to the current format, so tapping Regenerate with a feedback note (or after fixing something in the transcript) rebuilds the same format with your changes applied, rather than switching types.

There's no limit on how many times you can regenerate. Each regeneration adds a new version on top; it never replaces what's already there. Older versions collapse under Show previous versions (N), so your history stays intact and out of the way until you need it.

Each output can also be given its own name and a quick rating, so if you've generated several versions of the same recording you can tell them apart at a glance.

Building a custom output type

If none of the 12 built-in formats fit what you actually need (an investor pitch outline, a recipe writeup, a lesson plan), you can define your own. Two ways in:

  • From the More options panel, type a one-off custom type directly (placeholder text: e.g. investor_pitch, recipe, lesson_plan) to try it once.
  • Go to Settings → Custom Outputs to save one permanently. There you set a Name, Description, Prompt instructions, an optional Example output, and a Length preference (No preference, Short, Medium, or Long).

Saved custom outputs then show up as chips at the front of the Turn this into bar on every recording, right alongside the built-ins.

Custom output types are capped at 50 per account. That's a ceiling on how many distinct saved types you can keep, not on how many times you can generate them, so if you're experimenting, it's worth pruning ones you no longer use before you build new ones.

Choosing a format for the moment

A few starting points, based on what you're about to do with the output:

  • Sending something to someone: Email Draft gets a Send email button right on the output card.
  • Reporting up or across a team: Status Update or Meeting Notes.
  • Turning a scattered idea into something buildable: Product Spec or Outline.
  • Weighing a choice: Pros & Cons or Decision Log.
  • Just getting it out of your head first: Summary, then reshape it once you know what it's for.

Pair this with projects and tasks and the same recording ends up filed, actioned, and formatted for whoever needs to see it.

Frequently asked questions

How many output formats does InstantOwl have?

12 built-in types, plus custom output types you define yourself in Settings, up to 50 per account.

If I regenerate a recording into a new format, do I lose the old one?

No. Every version is saved. Older versions collapse under Show previous versions and stay accessible.

Is the 'Journal' format the same as journaling in InstantOwl?

No, it's just one of the 12 document formats, a journal-style write-up of what you said. It isn't tied to any separate journaling feature.

Is there a limit to how many times I can regenerate a recording?

No limit on regenerations. The only cap is 50 custom output types per account.
